When you use www.propbee.com to find, buy, prepare for rent or manage single-family homes, get a mortgage, or connect to a real estate or lending pro, we know you are trusting us with your data. We also know we have a responsibility to respect your privacy, and we work hard to do so. This Privacy Notice explains what personal data we collect, why we use it, who we share it with, and how we protect it, along with the tools you can use to manage your privacy. We periodically revise this Policy to reflect new and evolving laws that govern privacy. This Privacy Notice is not a contract and does not create any legal rights or obligations.
Who We Are: www.propbee.com offers a wide range of offerings that focus on all stages of your home rental journey, including searching, buying, financing, home renovations, rent determination, obtaining algorithmic and analytical data, engaging us for property management and related items to the services we provide.
We know that everyone’s home-buying and rental journey is different, and that deciding on the right property is a personal experience. Along with a wealth of information about homes, neighborhoods, market conditions, local real estate professionals, and financing options, we also use the information you give us to provide our services and help you find your next investment property.
We carefully evaluate how we use data to make sure that we are using your information to provide value for you, as our customer. Sensitive Information. As necessary, with your consent or as otherwise permitted by applicable law, we process the following categories of sensitive information:
Payment Data. We use CardKnox for your Credit Card payments. Therefore, we do not store any credit card payment-related information in our databases. When you make payment for our Services using a credit card transaction, this will be done via API to CardKnox and get a response. We, therefore, do not store your name, credit card number, security code or any other details of that transaction. We may collect data necessary to process your payment if you make purchases, such as your account number, your banking institution and the security code associated with your payment instrument. All payment data is stored by our “Postgres” database, described further under How do we keep your information safe?.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible under our Postgres database system described below.

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. Our Postgres database is not open to the public and utilizes a role-based access process which limits the authorized personnel that can access your information. Only our Propbee applications have access to the database server and there are no external ports open that can provide access to the database. The database server and application servers are connected to each other via a VPN, which is also encrypted and further protected via multi-layer internal authentication from those who are accessing it. The storage used for our databases and related backups are encrypted by default with service-managed keys. Data encryption additionally encrypts Propbee’s databases, backups and logs. Propbee also utilizes a role based access system which restricts who can access which data within Propbee.
However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.

We do not knowingly solicit data from or market to children under 18 years of age. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependent’s use of the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. Withdrawing your consent: If we are relying on your consent to process your personal information, including, without limitation, for analytical and reporting purposes, to provide the Services and to provide credit bureaus with information regarding your payments, which may be express and/or implied consent depending on the applicable law, you have the right to withdraw your consent at any time other than for the purposes of using such information on an anonymized basis for analytical and reporting purposes. Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. However, we may retain some information in our files for analytical and reporting purposes on an anonymized basis, to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms and/or comply with applicable legal requirements.
Cookies and similar technologies: Most Web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove cookies or reject cookies, this could affect certain features or services of our Services.

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Policy.
